Fleet Manager Guide: FMCSA Data Transfer

The Output File is an official ELD inspection report sent directly to the FMCSA. It contains detailed HOS records, driver profile data, and event history.

Admins can view and manage inspection transfers from the Admin Portal, including sending files on behalf of drivers when needed.

How to Send an Output File from the Admin Panel

  1. Go to the ELD tab in the top navigation bar.

  2. Click Transfer ELD Data.

  3. In the top-right corner, select Send New Report.

  4. Enter the Safety Official / Investigation Code.

  5. Choose the Driver and select the Date Range.

  6. Choose Web Services as the transfer method.

  7. Click Send.

The system will send the report to FMCSA. Once processed, a confirmation record appears, showing:

  • Created Time

  • Processed Time

  • Submission ID

  • Confirmation Status

Important Notes:

  • The Output File cannot be viewed, downloaded, or previewed by either Admins or Drivers - it’s accessible only to FMCSA officials.

  • The selected date range can be more or less than 8 days, depending on the DOT authorities' request.

Included in the Output File:

  • Driver profile data (including co-driver and trailer numbers)

  • Log graph

  • Detailed status list with edit history
